    The Medical Appointment Clerk provides clerical and administrative support the Air Force Medical Service Commodity Council’s Medical Support Services (MSS). This position coordinates and schedules appointments for patients in the Composite Health Care System (CHCS/AHLTA) for primary, specialty and subspecialty medical care. They will be a source of information for patients by assisting in the rescheduling and/or cancelling of appointments for medical care, and/or consults/specialty medical care.



    Essential duties and responsibilities include the following.  Other duties may be assigned.

    Determines patient eligibility for services and schedules medical appointments. Supports Primary Care Manager (PCM) by name processing for appointment and appropriate access to care timeframes during allocation of standard appointment types

    Tracks and records patient medical appointment schedules using CHCHS/AHLTA

    Validates and posts basic patient demographic information prior to booking appointment for patients.

    Authorizes eligibility through appropriate booking in the Defense Eligibility Report System (DEERS). May be required to register patients not already in computer system, such as newborns.

    Maintains and creates accurate and up-to-date patient schedules and logs. Utilizes CHCS/AHLTA system tools (detail codes, freezing slots, and TRICARE on-line usage) to facilitate maintenance of appointment slots, rescheduling options or cancellation processing.

    Assists patients with scheduling, rescheduling, and/or canceling appointments. Promotes consult/referral specialty medical care within the MTF or at civilian facilities.

    Provides specific visit instructions to patients, and ensures patients have necessary documentation for medical care services

    Obtains and confirms documentation and patient files for upcoming appointments on medical provider schedules.

    Prepares, issues and sends out patient notifications for appointment reminders, no shows, or reschedule/cancellations according to notification procedures.

    Receives and communicates telephone messages to PCMs and/or clinic nurses by using CHCS or AHLTA per individual clinic guidelines.



    High School Diploma or General Education Degree (GED) and a minimum of six (6) months relevant experience; or equivalent combination of education / experience.  A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.  Medical terminology and military medical records processing / tracking experience preferred.



    Basic Life Support-Provider (BLS)


    This position requires having the following immunizations, with accompanying proof copies of such records, prior to an offer of employment.  The responsibility of purchasing these immunizations and/or gathering these records is the responsibility of each interested candidate.

    Hepatitis A / Hepatitis B (3-shot series for immunity)

    Measles / Mumps / Rubella (MMR)

    Varicella (Chicken Pox)


    TB Skin Test with negative results (if positive, proof of negative chest results within the past 12 months)





    Ability to operate standard office equipment such as computers, typewriters, copiers, fax machines, telephone systems and office automations systems

    Skilled proficiency in the use of Microsoft Windows and Office programs (i.e., Word, Excel, Outlook, PowerPoint, etc.)

    Ability to plan, organize, schedule, and coordinate activities such as appointments, meetings and timelines

    Skilled proficiency in general medical ethics and telephone etiquette

    Excellent verbal and written communications skills with ability to prepare written documents and reports

    Knowledgeable and proficient in the use of the English language as to professional business grammar, spelling, punctuation and capitalization in the preparation of correspondence

    Solid organizational skills relevant to carrying out day-to-day responsibilities

    Exceptional customer service, listening and relationship-building skills

    Detail-oriented with ability to effectively multitask

    Ability to learn and apply new knowledge in a fast-paced environment

    Ability to interact, demonstrate tact and communicate effectively at all levels and across diverse cultures in a variety of situations

    Ability to work effectively both individually and in a team environment



    Ability to read, analyze, and interpret general business periodicals, professiona1journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.



    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


    Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
