  • Overview

    The Human Resources Assistant performs a variety of human resources administrative tasks in support of the Center for Disease Control and Prevention (CDC), Human Resources Office (HRO). 

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Essential duties and responsibilities include the following.  Other duties may be assigned.

    Assists with daily office operations, projects and special assignments.  

     

    Inputs employee and position data in the CDC’s Human Resources Information System (HRIS), specifically the system and internal systems unique to the agency.

     

    Reviews, processes, and files automated personnel actions, including a wide variety of appointments, pay actions, reassignments, and ensures proper coding of regulatory authorities etc.

     

    Reviews, processes, and files benefits applications and actions such as medical, transit, student loan repayment, etc.

     

    Maintains, reviews, and processes automated employee data and personnel histories in the personnel and payroll system.

     

    Reconciles errors and edits messages in real time.

     

    Reviews output in accordance with Federal and agency personnel regulatory and other policy guidelines to ensure correctness of determinations made.

     

    Ensures actions are filed in accordance with Federal Record Maintenance standards and regulations.

     

    Conducts staffing/recruitment support and processing.

     

    Conducts data entry services and is proficient in spreadsheet tracking and word processing.

     

    Provides a plan or methodology for assuring data accuracy and timeliness.

     

    Provides general HR Assistant services in assigned areas (e.g. Staffing, and Recruitment, Position Classification).

     

    Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

     

    Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output. 

     

    Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers.  Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources.  Will immediately correct any unsafe conditions to the best of own ability.

     

    EDUCATION / EXPERIENCE

    High school diploma or general education degree (GED); and three (3) months related experience and or training; or equivalent combination of education and experience. Experience with basic federal human resources terminology, regulations, operations, procedures, requirements, and practices. Experience with the automated systems Electronic Official Personnel Folder (eOPF) and Department of Interior's Federal Personnel Payroll System (FPPS). Experience with word processing software, spreadsheet applications, and other general administrative technologies

     

    CERTIFICATES, LICENSES, REGISTRATION

    Must be able to obtain Government clearance

    U.S. Citizen/Green Card only due to Government or federal requirements

     

    JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

    Working knowledge of automated HR processes

    Operational knowledge of human resource administrative practices and systems such as word processing, records management, schedule / time management, payroll, etc.

    Skilled proficiency utilizing Microsoft Windows and Office programs (i.e., Word, Excel, Outlook, PowerPoint, etc.)

    Excellent communications skills (i.e., verbal, written and presentation)

    Ability to work and communicate effectively with all levels of management and coworkers, as well as external contacts

    Exceptional customer service skills with ability to receive and provide information with clarity, courtesy and tact

    Ability to handle sensitive information with discretion and to maintain confidentiality

    Ability to take initiative in carrying out recurring assignments and to work independently within the framework established by the supervisor

    Detail-oriented with ability to organize work, set priorities and handle multiple projects

    Ability to work independently or in a team environment towards the successful achievement of goals

     

    LANGUAGE SKILLS

    Ability to read, analyze, and interpret general business periodicals, professiona1journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

     

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

     

    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
