  • Overview

    The IT Administrative Assistant provides information technology (IT) administrative support to the Office of Nuclear Energy (NE), Office of Human Capital & Business Services IT Division. This position performs a variety of information management administrative support services.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Essential duties and responsibilities include the following.  Other duties may be assigned.

    Works with internal functional teams and external customers for planning, prioritization and issue resolution of overall IT administrative support activities to enable achievement of customer goals.

     

    Attends and participates in meetings as required. Completes action items as assigned.

     

    Interacts with and advises customers by applying specific knowledge, and/or subject matter expertise in the execution of routine and non-routine tasks.  Responsibilities to include:

     

    Answers NE IT phones and takes messages, routes calls to appropriate parties and resolves issues.

     

    Performs on-boarding and off-boarding processes of Federal employees, contractors, and interns.

     

    Provides support to Account Property Representatives (APR) as requested.

     

    Provides support for NE conference room reservations, meeting requests and requirements.

     

    Provides video teleconference (VTC) support.

     

    Responsible for WebEx audio and webinar scheduling.

     

    Makes changes to and updates the NE employee database.

     

    Performs monthly reconciliations of Mission Application Authority to Operate (ATO) requirements.

     

    Responsible for mobile device procurements and activations.

     

    Performs reconciliation of Energy IT Services (EITS) business reporting.

     

    Provides data call tracking and assistance.

    Provides NE Portal support.

     

    Acts as backup for NE IT support team.

     

    Performs other administrative duties as needed.

     

    Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

     

    Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output. 

     

    Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers.  Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources.  Will immediately correct any unsafe conditions to the best of own ability.

     

    EDUCATION / EXPERIENCE

    Associates Degree in related field with a minimum of three (3) years relevant experience; or an equivalent combination of experience / education.

     

    CERTIFICATES / LICENSES / REGISTRATION

     

    JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

    Knowledge using MS Office Suite (Word, Excel, PowerPoint, etc.)

    Knowledge of SharePoint and WebEx

    Excellent spelling, grammar and organizational skills with little to no errors

    Skilled in facilitating teamwork and coordinating efforts for the successful achievement of goals

    Solid organizational skills relevant to carrying out day-to-day responsibilities

    Excellent verbal and written communications skills

    Exceptional customer service and relationship-building skills

    Ability to draft and edit documents

    Ability to explain technical information in a non-technical manner (verbal and written)

    Ability to work effectively, both independently and in a team environment

     

    LANGUAGE SKILLS

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

     

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

     

    REASONING ABILITY

    Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
