    The Program Coordinator - Clinical Engagement provides project and program management support to the Immediate Office of the Office of the National Coordinator for Health Information Technology (IO/ONC), Clinical Community Engagement group. This position assists in integrating information obtained from stakeholder engagement into ONC activities and tracking documentation. The Program Coordinator - Clinical Engagement assists the team in identifying potential policy or programmatic options that could improve health Information Technology (IT) and increase data access and exchange.


     


    ESSENTIAL DUTIES AND RESPONSIBILITIES


    Essential duties and responsibilities include the following.  Other duties may be assigned.

    Performs all duties as authorized by Chief Clinical Officer or Chief Medical Officer or other ONC federal staff designated by the Chief Clinical Officer or Chief Medical Officer.


     


    Implements and maintains a stakeholder engagement coordination work plan and develops and submits clinical community stakeholder content in response to data calls for project management tracking and reporting processes. 


     


    Organizes and facilitates regular meetings of project and portfolio team leads with the Chief Clinical Officer and Chief Medical Officer. 


     


    Takes and distributes meeting notes including action items and results. 


     


    Organizes information and prepares the Clinical Community Engagement team for ONC Clinical Council meetings and regular in-person briefings with ONC leadership. Prepares written reports for ONC’s Immediate Office (I/O), Office of Public Affairs (OPAC), ONC leadership and federal staff as identified by the Chief Clinical Officer.


     


    Documents and communicates feedback received from clinical community groups as outlined in the Clinical Community Stakeholder Engagement strategy.


     


    Works with the Chief Clinical Officer, Chief Medical Officer, and other group members to gather and organize stakeholder engagement feedback into themes. Reviews the information with the Clinical Leadership team and shares relevant stakeholder feedback as appropriate.


     


    Assist with ONC’s approach to policy, messaging, programming, resources and the continued improvement of the Clinical Community stakeholder engagement strategy and stakeholder engagement activity.


     


    Prepares and distributes clinical stakeholder briefing memos prior to stakeholder meetings.


     


    Prepares a report of weekly clinical stakeholder team meetings to include upcoming and recently past meetings.


     


    Works with the Chief Clinical Officer, Chief Medical Officer and other ONC federal staff to support the development and reporting of measurement strategies for clinician burden.


     


    Assist with ONC Clinical Council meeting charter development and information delivery.


     


    Coordinates, organizes, and successfully executes monthly ONC Clinical Informatics Grand Rounds.


     


    Uses ONC’s Salesforce CRM Stakeholder tool to capture stakeholder engagement.


     


    Ensure the coordination of current meeting summaries with CRM stakeholder events.


     


    Maintains and updates CRM contact information and coordinates with OPAC and staff to ensure engagement processes and templates are accurate.


     


    Creates a consolidated information update of the Clinical Community Outreach program.


     


    Documents engagement group contact. Tracks and catalogues core stakeholder groups’ policy priorities, clinical organizations’ member-specific top health IT related challenges and successes.


     


    Identifies stakeholder groups’ level of support and willingness to engage in constructive dialogue with ONC.


     


    Monitors successful communication of ONC priorities with professional organizations and key stakeholders.


     


    Regularly monitors newsletters, tweets, relevant white papers or position papers, comment letters and events to make sure ONC stays apprised of clinical opinions and actions.


     


    Presents compiled reports and documentation on stakeholder communications to the Chief Clinical Officer, Chief Medical Officer, and ONC federal staff. Assists to identify when and where it would be beneficial to target or intensify clinical engagement frequency.


     


    Conducts analyses of issues and documents findings in briefing or decision documents.


     


    Prepares presentation materials for high-priority ONC, HHS, and/or public-facing activities as requested by Chief Clinical Officer and Chief Medical Officer.


     


    Analyzes and drafts updates of HealthIT.gov content or for the Health IT Playbook.


     


    Responsible for weekly status reports, including hours worked and work accomplished within assignments, the outstanding action items list, and priority projects for the upcoming week.


     


    Attends weekly Clinical team meetings and other meetings as indicated.


     


    Provides regular updates of Clinical Leadership project tracking, management reports and systems for each project assigned within the Clinical Community Engagement portfolio. Ensures consistency with policy and procedure.


     


    Provides tracking of management reports and systems used for each project assigned.


     


    Provides team meeting planning and implementation support to include organization and management of the meeting agenda and conference room logistics. Follows up on action items.


     


    Develops program status materials as directed. Keeps team members informed regarding timelines and expectations, with particular attention to procurement and budgeting processes.


     


    Provides monthly leadership briefings, including timely assembly and submission of briefing materials.


     


    Provides monthly leadership reports and reports to other ONC offices, as requested.


     


    Provides strategic and operational proposal planning support. Ensures accurate documentation of team-proposed plans and feedback received from ONC I/O, OPOL, OTECH, OPAC, and other relevant leadership.


     


    Performs other duties as assigned.

    EDUCATION / EXPERIENCE


    Bachelor’s degree and a minimum of five (5) years’ relevant experience working in a professional business environment; or equivalent combination of education / experience. Must have Health Information Technology (HIT) experience.


     


    CERTIFICATES / LICENSES / REGISTRATION


    PMP Certification preferred

    Operational knowledge of mobile application data use models


    Working knowledge and understanding in the use of gap analyses


    Operational knowledge and skill in administrative / clerical practices and systems, such as word processing, presentation development, records management,  schedule / time management, as well as other office procedures and terminology


    Advanced proficiency in using Microsoft Office Suite (i.e., Outlook, Word, Excel, PowerPoint, Access, Visio, etc.)


    Excellent written and verbal communications skills with knowledge and ability to utilize appropriate grammatical skills at a professional level
